How it works

From the first idea to the thank-you note

EventHubQ follows an event through five stages. Use all of them, or only the ones you need.

1. Plan

Tell EventHubQ what you're planning. It builds a starter plan you can shape.

  • Choose a type such as wedding, reunion, conference or memorial, or create your own.
  • Answer a few questions: dates, one day or several, venue, expected guests, budget range and privacy.
  • Get a plan split into segments (ceremony, reception, day one…) with steps, owners and due dates.
  • Reorder, remove or mark steps optional. Copy a past event to start faster next time.
  • Invite co-hosts and organizers. Each person sees what they are responsible for.

2. Invite

Send invitations that sound like you, and let guests answer in a minute.

  • Write your own invitation with a photo and your colors. Send by email, text or both.
  • Invite households and couples together, with named guests and plus-one limits.
  • Guests RSVP from a private link. No account, no app.
  • Collect meal choices, allergies, accessibility needs and notes.
  • Set a deadline, send reminders, and update an answer when a guest calls you.

3. Coordinate

Find vendors, book them, and keep every agreement next to the step it belongs to.

  • Search vendors by area, category and tags. Verified businesses show a badge.
  • Send a booking request with the event details attached.
  • Follow each booking from requested to accepted, confirmed and completed.
  • Attach quotes, contracts, menus, floor plans and permits.
  • Staff the day with volunteers or paid help from PinchHitterPool.

4. Run the day

Everyone works from the same live plan.

  • Guests show a QR code at the door. Staff scan it from any phone.
  • Set up check-in stations and print name badges on arrival.
  • Mark steps done, tick off checkpoints and log issues as they happen.
  • Edit locks stop two people from changing a critical detail at the same time.

5. Close out

Wrap up properly, then let the data go.

  • Confirm vendor completion and review any incidents.
  • Compare your budget with what you actually spent.
  • Export the documents and summaries you want to keep.
  • After close-out and a grace period, guest contact details are deleted automatically.
